A plain-language explanation of the information Zonex receives and how it is used across our website and service enquiries.

Who we are

Zonex Facility Services provides commercial and residential cleaning and related facility services across Melbourne. “Zonex”, “we”, “us” and “our” refer to Zonex Facility Services.

Section 2

Scope

This policy applies to information handled through this website, emails, calls and communications connected with quote requests, enquiries, cleaning services, job applications and newsletter subscriptions.

Section 3

Information we collect

Depending on how you interact with us, we may collect:

  • name, email address, phone number and business name;
  • suburb, postcode, service address when needed to arrange work, property type and approximate size;
  • requested service, frequency, preferred start date, contact preference and enquiry details;
  • communications and service-related notes you choose to provide;
  • career information, including preferred role, availability, experience, suburb, work-rights, transport and police-check responses, and a résumé if you send one separately by email;
  • newsletter email address; and
  • technical information ordinarily recorded by web infrastructure, such as request time, browser or device details and IP address.

Public forms do not request payment-card details, account passwords or government identity numbers. Please do not include unnecessary sensitive information in free-text fields.

Section 4

How we collect information

We collect information directly when you submit a form, subscribe, email, phone or otherwise communicate with us. We may also receive service information from a person authorised to act for a customer, property manager, organisation or applicant.

Section 5

Why we collect and use it

We use information to respond to enquiries, assess and prepare quotes, arrange and provide services, communicate about work, maintain customer and enquiry records, assess job applications, manage newsletter subscriptions, protect forms from abuse, administer the website and meet applicable legal or operational requirements.

We do not sell personal information or provide it to other organisations for their own direct marketing.

Section 6

When information may be disclosed

We disclose information only where reasonably needed for the purpose for which it was collected, with consent, or where authorised or required by law. Recipients may include:

  • Zonex team members who need the information to respond or provide an agreed service;
  • Vercel for website hosting, Neon for PostgreSQL database services, and Resend for SMTP email delivery;
  • professional advisers, insurers or authorities where relevant to an issue or obligation; and
  • another recipient you authorise.

Section 7

Data storage and security

The website is hosted on Vercel. Quote, contact and career enquiries and newsletter subscriptions are stored in Neon PostgreSQL through the Vercel-connected database integration. Contact and career notifications are sent by Nodemailer through Resend SMTP after the enquiry has been stored. Quote requests are included in a protected weekly Excel report sent to Zonex rather than triggering an immediate email. Authorised administrators can access enquiry records through a password-protected dashboard.

We use reasonable technical and organisational safeguards appropriate to the information and systems involved, including encrypted web connections in production, access controls, protected administrator sessions and restricted credentials. No internet service can be guaranteed completely secure.

Section 8

Cookies, server logs and analytics

The public website does not set advertising or cross-site tracking cookies and does not currently run a website analytics service. The application uses a secure session cookie only for authorised administrators who sign in to the private dashboard.

Hosting and security infrastructure may create technical server logs to deliver the website, diagnose faults and limit abuse. External destinations, such as map or messaging links, apply their own privacy and cookie practices after you follow them.

Section 9

Newsletters and direct marketing

If you submit the newsletter form, we store your email address for Zonex news, cleaning information or offers. You can ask us to stop at any time using the contact details below. We may keep the minimum information needed to record an opt-out.

Submitting a quote, contact or careers form does not by itself subscribe you to the newsletter.

Section 10

Access and correction

You may ask what personal information we hold about you or request a correction. Contact us with enough information to identify the relevant records. We may need to verify your identity and may withhold access where permitted or required by law, explaining the reason where appropriate.

Section 11

Privacy complaints

If you are concerned about our handling of personal information, contact us and describe the issue. We will consider the complaint and communicate the outcome or next steps. If the matter falls within the OAIC’s jurisdiction and remains unresolved, you may be able to complain to the Office of the Australian Information Commissioner.

Section 12

Service-provider locations

Vercel, Neon and Resend may process or store information using infrastructure outside Australia. Their processing locations depend on the services and regions used, and we do not represent that website information is stored exclusively in Australia. Contact us if you need current information about those arrangements.

Where Australian privacy requirements concerning overseas handling apply, we will take the steps required in the circumstances.

Section 13

How long we retain information

We retain information while it is reasonably needed for the purpose collected, an ongoing relationship, record-keeping, dispute management or applicable legal obligations. Retention varies by record and context; we do not promise a fixed period through this website. When information is no longer reasonably required, we take reasonable steps to delete or de-identify it where appropriate.

Section 14

Data breaches

We will assess a suspected breach affecting personal information and take proportionate steps to contain and respond to it. Where the Notifiable Data Breaches scheme applies and an eligible data breach occurs, we will notify affected individuals and the OAIC as required.

Section 15

Children and third-party links

This website is designed for people arranging property services and for job applicants; it is not directed to children. If a child has submitted personal information without appropriate involvement from a parent or guardian, contact us so we can assess and address it.

Links to third-party websites and services are governed by the privacy practices of their operators. We do not control those external services.

Section 16

Changes to this policy

We may update this policy when our website, services, providers or legal obligations change. The current version and effective date will remain available on this page.
